Position Description
Position Title: Director of Donor Operations
Department: Donor Engagement
Reports to: Chief Advancement Officer (alongside Director of Donor Engagement)
The mission of the Donor Engagement Office is to provide strong community relations, resource development, and donor-centered fundraising with churches, alumni, and friends of the college.
Institutional Goals supported by Department: IG 4, 5
*This position is designated as a Campus Security Authority (CSA), will be required to participate in CSA training, and is required to immediately forward all reports of Clery Act crimes brought to their attention to the Clery Compliance Officer.
A. Summary
The Director of Donor Operations oversees advancement data, systems, office staff, and fundraising initiatives, and cultivates donor relationships through accurate and compelling communications, reports, and appeal strategies.
B. Primary Duties and Responsibilities (Advancement Operations & Data Systems)
1. CRM Systems, Funnel Management, and Analytics
· Oversee the advancement CRM (ensuring data integrity, donor segmentation, funnel management, and performance tracking across the donor lifecycle).
· Optimize systems to improve targeted appeal and cultivation strategies.
· Oversee and optimize KPI dashboards and reports.
2. Gifting Office (Staff, SOPs, Relations, and Compliance)
· Supervise office staff and systems in compliance with institutional policies and IRS regulations
· Assist with donor questions, reporting, and appreciation.
3. Segmented Appeal Strategies
· Develop and oversee multi-channel appeal strategies utilizing data segmentation (online, texting, alumni, planned giving, IRA).
· Track and forecast KPIs for each strategy and segmentation.
4. Grant Strategy (as assigned)
· Coordinate grant research, writing, and pipeline tracking, integrating deadlines and reporting requirements into broader advancement systems
C. Knowledge, Skills, and Abilities
1. Experience in development, nonprofit fundraising, or CRM-driven environments
2. Strong CRM/database proficiency: data integrity, reporting, and segmentation
3. Ability to design and optimize systems supporting fundraising strategy and donor lifecycle management
4. Analytical mindset; able to translate data into insights, metrics, and forecasts
5. Knowledge of gift processing, donor stewardship, and compliance (donor intent, restricted funds)
6. Proven team leadership with clear expectations and accountability
7. Careful attention to detail in financial and donor data
D. Minimum Education and Experience Requirements
1. Bachelor’s degree required; graduate degree preferred
2. 5–7 years in advancement/development operations, nonprofit fundraising, or CRM-driven environments
3. Proven staff supervision and project management
4. Proficiency in data analysis tools (CRM, Excel)
5. Valid driver’s license
E. Work Environment and Physical Requirements
1. Travel will be an occasional but limited part of this role (subject to change depending on the candidate’s experience).
2. This role will involve regular office hours (not remote).
